Job Description

Reporting to the Team Lead, Procurement and Facilities, some of the key responsibilities include:

  • Conduct tendering and RFx competitions to maximize value of LAA spend.
  • Manage purchase-request data for purchases over $10,000 and for non-Procurement card supported merchants.
  • Create, maintain, and organize all contract and purchasing documents.
  • Issue purchase orders for new or extended contracts.
  • Accountable for the receiving function throughout the organization.
  • Manage all aspects of LAA P-Card program including tracking and analysing spend making recommendations to achieve optimization; maintaining and demonstrating adequate controls; and development and delivery of staff training program and tools.
  • Maintain master vendor and contract list; track, analyse and report with recommendations with respect to LAA spend.
  • Contribute to ensuring accuracy of all leases, sub-leases, leaseholders’ improvements, maintenance and warranties of assets and equipment records.
  • Respond to inquiries regarding procurement and contracting process requirements from internal clients and vendors in line with management’s directions.
  • Coordinate and liaise with regular service vendors i.e., Shred-it, maintenance, security system.
  • Manage physical procurement and contract record retention.
  • Provide backup support to the facilities function as required

Qualifications

Education and Experience:

 

  • Post secondary education in a relevant field – Acceptable combination of education and experience will be considered.
  • 3-5 year’s Experience with purchasing and contracting required.
  • Preference will be given to those currently working towards nationally recognized certification such as SCMP (Supply Chain Management Professional).

Knowledge and Skills:

 

  • Basic contract law including implied duties with respect to competitive bidding.
  • General knowledge or principles, theories, and practices of purchasing goods and services in the public sector and/or non-profit settings.
  • Enterprise planning as it pertains to procurement and contracting activities.
  • Basic understanding of commercial leasing.
  • Advanced computer literacy, including:
    • MS Office suite (Word, Excel, PowerPoint, Teams), Visio, and Adobe
    • MS Business Central procurement functionality.
  • Strong written and verbal communications skills.
  • Systems thinking skills including strong strategic and tactical planning capabilities.
  • Accuracy and attention to detail.
  • Research, collect, analyse, and develop information or data driven recommendations.
  • Excellent organizational and time management skills.
  • Demonstrated ability to work well under pressure.
  • A positive, “can-do” attitude with client focused approach.
  • Demonstrated commitment to continuous improvement.
  • Strong initiative and action orientated with a sense of urgency to get things completed.
  • Ability to deal with clients, suppliers, and coworkers in a positive, professional, and confidential manner

  • Maximize use of available technology
