Job Description

Reporting to the Manager, Procurement & Facilities, some of the key responsibilities include:

  • Maintain and organize all lease agreements.
  • Create maintain regular maintenance logs of all LAA Facilities.
  • Coordinate unscheduled maintenance issues and facility emergencies, as they occur, for all LAA locations.
  • Maintain capital improvements that include tenant improvements, furniture, and other high-cost modifications.
  • Emergency procedure oversight to ensure all buildings have the adequate processes/ procedures and equipment.
  • Stay familiar with building code and Health and Safety codes to ensure our buildings are up to code.
  • Approve monthly rent charges for all LAA Facilities.
  • Leverage facilities into the strategic operation plans of LAA.
  • Maintain building access cards, keys and parking throughout the organization upon hire, termination, or resignation of LAA employees and contractors.
  • Undertake facility work orders.
  • Respond to inquiries regarding facilities process from internal clients and vendors in line with management’s directions.
  • Establish, Liaise and maintain contracts with regular facility service vendors i.e. Shred-it, maintenance, security system, Iron Mountain.
  • Authorize, with the approval of manager and stakeholders, the coordination of space and office moves.
  • Work with various stakeholders in other departments to develop safe workplace that is efficient for all users
  • Act as the First Aid and Floor Warden
  • Manage physical and electronic record retention.
  • Perform additional duties as directed by the Manager as required.
  • Provide backup coverage for the Procurement Officer as needed including but not limited to:
    • Support tendering and RFx competitions to maximize value of LAA spend.
    • Enter purchase-request data for purchases from $10,000 and for non-Procurement card supported merchants.
    • Issue purchase orders for new or extended contracts and support the receiving of items for the team

Qualifications

Education and Experience:

  • Post-secondary education in a relevant field – Acceptable combination of education and experience will be considered.
  • 3 to 5 years’ Experience with facilities management required.

Knowledge and Skills:

  • Basic contract law.
  • Facility management, such as commercial leasing agreements, landlord relations, commercial property management, etc.
  • Advanced computer literacy, including MS Office (Word, Excel, PowerPoint, Teams), Visio and Adobe.
  • Strong written and verbal communications skills.
  • Systems thinking skills including strong strategic and tactical planning capabilities.
  • Accuracy and attention to detail.
  • Research, collect, analyze and develop information or data driven recommendations.
  • Excellent organizational and time management skills.
  • Demonstrated ability to work well under pressure.
  • A positive, “can-do” attitude with client focused approach.
  • Demonstrated commitment to continuous improvement.
  • Strong initiative and action orientated with a sense of urgency to get things completed.
  • Ability to:
    • Deal with clients, landlords, suppliers, roster lawyers and coworkers in a positive, professional and confidential manner.
    • Adapt to changing environments.
    • Maximize use of available technology.
    • Handle multiple assignments and changing priorities effectively and efficiently with minimal supervision.
